We wanted to alert you to an upcoming scheduled maintenance window for Mount Sinai REDCap. 

Event: Scheduled Downtime

Reason: A software update is required to apply critical security fixes for our REDCap computing environment.

Who is Affected:  All REDCap users from Icahn School of Medicine and Mount Sinai Health System, including external collaborators, mobile app users, API users, survey participants

Impact:  REDCap will be unavailable during this maintenance window.  Unavailability is defined as:

  • Survey emails and Alerts & Notifications will be halted until the upgrade is complete.
  • Survey links will be inaccessible and will display a 'REDCap is offline'message when clicked on.
  • API activity will be halted until the upgrade is complete.
  • REDCap Mobile app users are strongly encouraged to sync any data on their devices back to their REDCap project before the upgrade begins. Although not encouraged, offline data collection may continue in the app during the upgrade, however the online sync process will not be available until the upgrade is complete.

Updates: As soon as the upgrade is complete, communication will go out confirming its completion.

REMINDER: On July 1, 2024, per policies announced last year, we will delete REDCap projects that are:

  • Unpaid AND Research or Faculty Practice Associates (FPA) Operations projects AND over one year old

OR

  • inactive for multiple years.

Projects to be deleted as defined above have been locked during the first months of 2024. (Note that REDCap projects being actively used in the "Hospital Operations", "Quality Improvement" and "Medical Student" categories are not being locked, they will be paid directly by MSHS.)

Locked REDCap projects are tagged with a red label of "OFFLINE" and cannot be opened by project members. Clicking on a locked REDCap project in the "My Projects" page will bring up this message: "This REDCap project is currently offline. Please return to this project at another time. We apologize for any inconvenience..."

You will have one full year after the project creation date or July 1, 2024 (whichever is later) to unlock a project before it is deleted from our system.

TO UNLOCK AN UNPAID REDCAP PROJECT:

1. Submit basic REDCap project information and a fund number for payment, when required, at this link. (Research and Faculty Practice Associates (FPA) Operations projects require a funding number, while Medical student, hospital Quality Improvement (QI) and Hospital Operations projects will be paid directly by MSHS.)

2. Contact REDCap support and provide the project ID from step 1. and request the project be unlocked.

Clinical Data Pull (CDP) is now available: Import clinical data into REDCap from Epic

The five types of Epic data currently supported: Basic demographics, Condition/Problem list, Medication lists, Vital signs, Laboratory.

User requirements: Access to Epic, Listed as key study personnel in the IRB protocol, Have a REDCap project in production.

Must submit a request to https://bit.ly/3guXoag with IRB approval and protocol documents listing the required data elements.

 

Cost: Custom project builds and clinical data pull costs are based on based on estimated hours of work and paid via salary support.
